Operations Assistant Position Summary:

Hunter Hollis, A Signature Consultants company is seeking an Operations Assistant for an opportunity with a client in Charlotte, NC. As a vital member of the company's team, you will assist in the day-to-day business operations of the company, as well as carry out financial duties related to the organization's business transactions. This work will include a broad range of administrative, office management, reconciliation, and customer service duties. On the financial side, this will include general customer orders; inventory management; and accounting procedures, including accounts receivable and accounts payable. Accurate preparation and timely input of data into QuickBooks Online is expected. The position also requires the ability to interact professionally over the phone and in person, and the ability to prioritize tasks. This position will need to coordinate with the accounting staff at the parent company to ensure work is completed as expected and in a timely manner.

Responsibilities:

  • Receive and process orders, including but limited to:
    • Create invoices
    • Create POs
    • Create packing slips
    • Enter payments/prepare deposits (and make actual bank runs)
  • Receive and process vendor bills
    • Enter into QuickBooks Online
    • Pay bills/print checks/initiate wires
  • Follow-up on AP/AR, including but not limited to:
    • Request invoices for billings
    • Invoice/delivery ticket matching
    • Collection calls
  • Cash management for day-to-day operations
  • Office management, including but not limited to:
    • Cleaning
    • Ordering supplies
    • Maintaining the office space
    • Taking out trash & recycling
  • Answer telephones and transfer calls to appropriate staff members
  • Verify and post all transactions in QuickBooks Online daily
  • Preparation for monthly reconciliation
  • Balance credit card accounts and reconcile credit card bills
  • Vendor maintenance (for Year End 1099 preparation)
  • Assistance with inventory tracking
  • Electronic and physical filing, including file creation and management
  • Customer support, including by not limited to:
    • Attend to any correspondence and emails by customers
    • In cordination with the Operations Manager, check product availability and track shipments
  • Payroll processing, including but not limited to:
    • Reporting to payroll company
    • Expense report verification & entry
    • Advanced payments as necessary
    • Any posting and reporting in QuickBooks Online
  • Support on marketing activities (such as marketing e-mailing)
  • Perform additional general clerical duties as and when needed

Minimum Qualifications:

  • Associate degree in Accounting or an equivalent combination of education and experience. Business Management degree is acceptable with concentration and experience in accounting.
  • Bilingual - English and Spanish

Knowledge and Skill Requirements:

  • Knowledge and understanding of General Accepted Accounting Procedures and Practices
  • Proficiency in QuickBooks Online
  • Knowledge of Microsoft Office
  • Strong verbal and written communication skills
  • An eye for attention to detail
  • Ability to work effectively in a fast-paced environment
  • Exceptional analytical skills to sift through high volumes of data and information
  • Ability to work sitting down in front of a computer for long hours every day
