Office Administrator Position Summary:

Signature Consultants is seeking a support professional for an office or business unit within the Signature Consultants' sales and recruiting team in Boston, MA. This includes maintaining the operations of the office, being a liaison to our centralized services operations and ensuring our consultant care is a priority. The scope of your job will extend to key areas such as: recruiting coordination, expense management, payroll, billing, front desk management, facilities, consultant care, event planning, and compliance.

Essential Job Functions (listing most important first):

Branch Office Operations

  • Employee and subvendor on-boarding- process offer letters, contracts, new hire tasks, background and drug screening while maintaining 100% compliance
  • Maintain the applicant tracking system and recruiting metrics (Bullhorn, IQN, Fieldglass etc)
  • Enter all job orders into the system for their office only or provide back up support for other offices
  • Update and maintain reports and audit for accuracy
  • Provide administrative support to the department and front desk reception area
  • Process expenses for internal staff and consultants
  • Partner with centralized services team to resolve consultant, staff issues as they arise
  • Verify the completion of all I-9's through eVerify
  • Resume formatting for recruiters
  • Special projects as needed


  • Process weekly payroll for consultants and submit to the Services Billing team in a timely manner. Handle all inquires and issues as it relates to payroll for assigned client accounts
  • Act as a liaison between Services Billing team and internal partners to resolve any issues that arise
  • Conduct weekly audits of timecards and hours entry
  • Ensure all issues are resolved before month end billing
  • Conduct ad-hoc audits with Services Payroll and Billing Team as needed
  • Special projects as needed

Event Planning and Consultant Care:

  • Prepare welcome packages for new employees
  • Coordinate team, client and consultant events including site location, logistics, giveaways and invitations
  • Oversee annual events for the office
  • Maintain expense log and budget for activities as necessary

Education: High School diploma generally required or equivalent experience


  • At least 2 years in an administrative support role/project coordinator
  • Experience in payroll and billing practices
  • Experience supporting in a large office environment

Required Skills:

  • Knowledge of administrative and clerical procedures
  • Knowledge of computers and relevant software applications
  • Knowledge of customer service principles and practices
