Facility Coordinator Summary:

Signature Consultants has an opportunity for a Facility Coordinator. In this role the candidate will be expected to be the initial and local single point of contact to proactively and reactively resolve facility issues for teammates in their assigned geography. With consultation and input from the assigned Facilities Manager and under the leadership and direction of the Head of Facilities Management, the Facility Coordinator will be expected to independently preform the below responsibilities.


  • Liaise with teams on facilities management topics (e.g., restacks, relocations, etc.)
  • Serve as local point of contact to execute tactical Ad Hoc moves/adds changes, and Restacks
  • Coordinate with local business leaders for conference room scheduling, seat reconciliation, proactive issue identification and reactive issue resolution
  • Verify and reconcile personnel to floor plans and billing departments
  • Be the escalation point and resolve building access issues for TMs, contractors/vendors, & guests
  • Be the escalation point for Property Management groups and related requests
  • Provide Day 1 onboarding support (first point of contact, I9 confirmation and processing, badges and additional onboarding requests)
  • Serve as Area Owner proxy and manage building access for team members, contractors, vendors, and guests
  • Serve as first point of contact for supplies inventory and related purchasing (kitchen and stationary) using centralized AU/ordering. Maintain common areas as required
  • Serve as First point of contact for off-boarding support (collect TM equipment)


  • 3+ year of experience in one or a combination of the following: administrative support, project management, implementation, business operations or strategic planning in financial services
  • Demonstrated proficiency with basic Microsoft Office suite tools, Outlook & SharePoint
  • Ability to work independently under remote direction
  • Results oriented with demonstrated history of attention to detail in a customer service organization
  • Demonstrated history of flexibility and ability to deliver results in during periods of ambiguity
  • Highly organized with a demonstrated ability to prioritize tasks to achieve results

Preferred Skill Set:

  • Previous experience in a corporate real estate, planning or facilities organization; ability to read and understand floor plans.
