Communications Project Manager Summary:

Signature Consultants has an opportunity for a Communications Project Manager. In this role the candidate will provide project management and reporting support to the Communications and Engagement team. The primary responsibility of this role is to provide project management knowledge and leadership to support the on-time and high quality delivery of communications and engagement sessions to our client's employees. The role involves working directly within the Comms team while also coordinating with PMO. Through regularly scheduled or ad-hoc sessions, the candidate will coordinate with team to update plan, assist in driving work forward, confirm scheduling/milestone assumptions, problem solve delays or scheduling discrepancies, and any other actions required to help meet communication and engagement launch dates and milestones.

Responsibilities:

  • Project Plans: Create and manage the project plans in order to keep team informed regarding potential challenges with critical path deliverables
  • Coordinating with comms team leads, production managers, and other comms writers to create project plans and/or timelines for each program and communications deliverable as appropriate
  • Reporting: Create a variety of reports for multiple projects on a weekly or ad-hoc basis. Reports will include variety of information such as project status, work accomplished, upcoming activities, project plan 2-week look ahead, review schedules, budget information, etc.
  • Meeting Coordination: Coordinate to create variety of project meeting series (weekly, ad-hoc, etc.), invite appropriate comms team, business partners, or external vendors, and manage each series through any schedule conflicts
  • Facilitate webcast, bridgeline, or any other tools necessary for each session
  • Coordinate with comms leads to create agendas and presentation materials, display materials and facilitate sessions, and perform any additional actions required to drive efficient quality meetings
  • Record action items and follow with post-meeting summaries as appropriate
  • PMO Coordination: Coordinate with comms team members to consolidate information in order to provide the following deliverables to the team: project budget, tollgate materials, communications and engagement, plans risks, lessons learned/best practices, other summary materials
  • Coordinate with PMO to provide status, answer questions, solve issues, etc.

Qualifications:

  • 5 or more years of project management support experience
  • Experience working on large scale, complex projects/programs with multiple milestones and phases
  • Strong project management skills, including the ability to prioritize work and meet deadlines
  • Strong written and verbal communications skills
  • Ability to facilitate meetings, capture key outcomes/actions and own project/process documentation
  • Exceptional analytical skills with ability to comprehend, document, evaluate and improve complex project/team processes.
  • Self-motivation, self-direction, organizational skills and the ability to manage priorities without sacrificing quality or timelines
  • Ability to manage a project or phases of a project in a fast-paced, matrixed environment with strong attention to detail and accuracy
  • Relationship Management - Ability to build relationships and interact with communication partners, PMO, business partners, and external (3rd party) partners
  • Effectively deals with ambiguity and adapts to changing circumstances
  • Ability to work with diverse team members in virtual environment
  • Ability to work with and across multiple levels of the organization, prioritize work and meet deadlines
  • Proficiencies in Microsoft Office products (Word, Excel, PowerPoint) and SharePoint required
