Executive Assistant Summary:

Signature Consultants is seeking an Executive Assistant for an opportunity in Charlotte, NC. The Executive Assistant supports executive level management, handling administrative duties. Primary responsibilities include performing diverse, advanced and confidential administrative support including composing, signing and releasing routine but somewhat complex correspondence. Relieves management of administrative details; gathers, compiles and reports information relevant to/for the executive.

Duties & Responsibilities:

  • Reads, screens, refers and responds to incoming mail, ensuring that referrals are made, responses are gathered and summarized.
  • Typically manages different and conflicting objectives, projects or activities at once.
  • Coordinates schedules for corporate level executives. May act as liaison to outside groups coordinating events where the executive is a corporate chair, director or committee member.
  • Communicates with executives and line management to gather/convey relevant information.
  • Supports executive(s) by performing diverse, advanced administrative support functions including:
  • Robust scheduling for high-level executive meetings; includes creation of agendas and light material preparation, and note taking
  • Executive Outlook calendar management and deadline reminders
  • Relieves management of administrative details; gathers, compiles and reports information
  • Typically manages different and conflicting objectives, projects or activities at once
  • Coordinates schedules for executive to maximize time and create efficiencies
  • Responsible for contact and exposure to sensitive information and must use considerable tact, diplomacy and judgment
  • Responsible for on-boarding/off-boarding activities for employees/contractors based in Charlotte, NC
  • Assist in coordinating and executing onsite leadership events

Required Skills:

  • Strong Word, Excel and PowerPoint skills - a must
  • Very Strong Outlook Experience - a must
  • Ability to manage multiple calendars and phone calls
  • Strong communication skills (via phone and email)
  • Excellent organizational skills with an ability to think proactively and prioritize work
  • Ability to proactively look for potential conflicts or issues and resolve with little or no involvement from Executive
  • Strong time management skills
  • Self-starter
  • Requires 5+ years' experience
  • May require an associate's degree or its equivalent with at least 4 years of experience in the field or in a related area.
  • Some staff at this level are involved in high-level client contact and exposure to sensitive information and must use considerable tact, diplomacy and judgment.

Resource is required to be on the assignment for the required hours as specified in the job description. Forty hours per week is the expectation in the absence of specified hours. Attendance and punctuality are essential components of the position; therefore, unexcused absences and tardiness could result in dismissal.
